Welcome to PillPilot ("we", "our", or "us"), developed and operated by GL Technologies. PillPilot is an iOS medication management and reminder application designed to help individuals and caregivers organize medication schedules, record intake, track inventory, and receive timely reminder alerts.
We believe your medical routines and medication records are strictly private personal health information. This Privacy Policy explains how PillPilot collects, uses, handles, and protects your information in strict adherence to Apple's App Store Review Guidelines, Apple Human Interface Guidelines, and global privacy standards.
🛡️ Our Privacy Pledge: PillPilot is built on a "Privacy by Design" foundation. The app does not require account creation, does not display third-party advertisements, does not sell your personal data, and stores your health records locally on your device by default.
1. Information We Process & System Permissions
We strictly follow the principle of Data Minimization. We only request system permissions and process information that is directly necessary to provide medication scheduling and reminder features:
Medication & Schedule Records: All information you create (including medication names, dosages, units, taking frequencies, reminder times, inventory counts, expiration dates, and personal notes) is stored securely on your local device.
Camera & Photo Library (NSCameraUsageDescription / NSPhotoLibraryUsageDescription): If you use medication label scanning, barcode lookup, or prescription OCR intake, PillPilot requests access to your camera or photo library. With your explicit AI data-sharing permission, images you choose for AI analysis may be encrypted and sent through PillPilot's AI gateway to an AI processing provider. You always have full review and editing control before any result is saved.
Microphone & Speech Recognition (NSMicrophoneUsageDescription / NSSpeechRecognitionUsageDescription): If you use voice input to dictate medication schedules, PillPilot uses Apple's Speech Recognition framework to convert your voice to text. PillPilot does not retain the audio recording. With your explicit AI data-sharing permission, the resulting transcript may be sent for AI processing.
Face ID / Touch ID (NSFaceIDUsageDescription): If you enable the App Lock feature to secure your medication lists, authentication is performed on-device via Apple's LocalAuthentication framework. Biometric data is strictly confined to your device's Secure Enclave; PillPilot never has access to your raw biometric data.
Notifications & Alarms (NSAlarmKitUsageDescription): To deliver timely reminders and critical alarms, PillPilot schedules local notifications and alarms on your device.
Live Activities & Widgets: PillPilot uses Apple's ActivityKit and WidgetKit to display next-dose countdowns and status on your Lock Screen and Dynamic Island based on local schedules.
2. AI Services and Data Processing
Our application provides optional AI-assisted medication intake, prescription label OCR parsing, voice schedule extraction, and conversational intake assistance. This section describes how these AI features work, what data is involved, and how it is processed in compliance with Apple App Store guidelines.
(1) AI Technology Implementation & Infrastructure
PillPilot sends optional AI requests through a secure gateway operated for GL Technologies. Depending on availability and the requested capability, data may be processed by Google, OpenAI, OpenRouter, Groq, Cerebras, or Alibaba Cloud. OpenRouter may route a request to one of the disclosed model providers. Specific model names and versions may change without changing the purposes described in this policy.
(2) What Data Is Shared with AI Services
After you grant AI data-sharing permission, an AI request may include:
Text Prompts, OCR Text & Voice Transcripts: Medication and reminder information you type, text recognized from selected packaging or labels, and transcribed speech that you submit.
Medication Images: Image data of medication boxes, labels, or prescriptions when you deliberately choose image analysis.
Conversation Context: Limited recent turns needed to understand or complete the current medication intake request.
Technical Metadata: A random app-installation identifier, request identifiers, timestamps, app identifier, selected market, and basic delivery metadata used for authentication, reliability, security, and abuse prevention.
Do not submit passwords, payment information, government identifiers, or unrelated confidential records. PillPilot does not send biometric templates, Apple ID credentials, advertising identifiers, or precise location as part of an AI request.
(3) How AI Processes Your Data
When you use AI-assisted features:
Encrypted Transmission: Requests are transmitted using HTTPS/TLS.
Purpose-Limited Processing: The selected provider processes the request to extract and structure medication names, strengths, instructions, schedules, and reminder details, then returns a result for your review.
Retention: PillPilot does not create an advertising profile from AI requests. The gateway and providers may retain limited operational, security, abuse-prevention, or troubleshooting records according to their applicable service terms, account settings, and legal obligations. Retention therefore varies by provider and cannot be described as immediate deletion in every case.
(4) Data Usage and Zero-Training Policy
PillPilot and GL Technologies use submitted content only to provide, secure, troubleshoot, and improve the requested PillPilot feature.
PillPilot does not use medication content for advertising, data brokerage, or training PillPilot-owned AI models.
We configure available provider data controls for API/business processing and do not instruct providers to train models on PillPilot content. Provider handling remains subject to the applicable provider agreement and account configuration.
GL Technologies requires providers used for PillPilot requests to protect personal data consistently with this policy and applicable law.
(5) AI Content & Medical Safety Disclaimer
AI-generated text, extractions, and suggestions are produced by automated algorithms and may contain inaccuracies or errors.
PillPilot is an informational tool and does NOT provide medical advice or clinical diagnosis.
Users must independently review and verify all extracted medication names, strengths, dosages, frequencies, and scheduled times before saving or taking any medication.
Do not submit passwords, financial information, government ID numbers, or unrelated confidential personal records through the AI assistant.
(6) Your Control, Consent Withdrawal & Data Deletion
Explicit Permission: PillPilot displays an in-app disclosure identifying the data, purpose, and potential recipients before the first AI request is sent.
Entirely Optional: You can continue using manual medication and reminder entry without AI data sharing.
Withdraw Consent: Go to Settings > AI Data Sharing to withdraw permission. PillPilot will block new online AI requests immediately after withdrawal. Withdrawal does not recall requests already processed.
Request Data Deletion: Contact GL.Tech@icloud.com. Because PillPilot does not require an account, describe the approximate request date and device context so we can determine whether any provider- or gateway-held record can be identified. We will respond within 30 days.
3. Data Storage & iCloud Synchronization
Local-First Storage: Your primary database is stored directly on your iOS device via Apple's SwiftData framework.
Apple iCloud Sync: If enabled, PillPilot utilizes Apple CloudKit to synchronize your records across your personal Apple devices. Your data is encrypted and tied exclusively to your personal Apple ID account. GL Technologies does not operate separate proprietary servers holding your personal health data.
4. Drug Reference Data Lookups
PillPilot provides informational reference data (such as drug information from public catalog services like openFDA or cached reference catalogs). When you search for reference information, anonymous queries containing only the drug name or national drug code are sent. No user identity, location, or personal schedule data is transmitted during reference queries.
5. In-App Purchases & Subscriptions
PillPilot Pro subscriptions and in-app purchases are processed directly by Apple via StoreKit 2. We do not process, store, or have access to your credit card information, bank details, or billing address. Apple manages all financial transactions in accordance with Apple's Privacy Policy.
6. Third-Party Tracking & Advertising
PillPilot does not contain third-party ad networks, tracking cookies, or commercial data brokers. We do not track your activity across third-party apps or websites.
7. Your Data Rights & Deletion
You have full ownership and control over your medication data:
You can view, edit, or delete any medication entry, schedule, or dose log within the app at any time.
Deleting the app permanently removes all local data stored on your device.
If iCloud Sync was enabled, you can manage or delete your iCloud backup data via iOS Settings > [Your Apple Account] > iCloud > Manage Storage.
8. Children's Privacy
PillPilot is not intended for use by children under 13 without parental supervision. We do not knowingly collect personal information directly from children under 13.
9. Updates to This Policy
We may update our Privacy Policy periodically to reflect new features or regulatory requirements. Any updates will be published on this page with an updated effective date.
